Warehouse Supervisor

About the job

Direct supervision of personnel responsible for incoming goods in commodity/supply warehousing. Responsible for the maintenance and operation of incoming goods and storage warehousing (primary and outsourced). Responsible for processing incoming goods with the aim of ensuring punctual deliveries, correct storage in the warehouse and correct administration. Responsible for the accuracy and physical location of incoming goods processed through or by FSS supply chain and/or other departments related to the continuity of business.

Responsibilities:

  • Supervise warehouse personnel across multiple locations and/or shifts
  • Ensuring inventory accuracy
    • Cycle Counts
    • Physical Inventories
    • Identify and correct inventory discrepancies
  • Participate in all inventory audits
  • Oversee all materials transfer activities between facilities
  • Reviews documentation to ensure recording of processes, logs, and accounting of materials complies with policies, procedures, and Good Documentation Practices (GDP)
  • Ensures warehouse personnel, company policies, procedures, and safety requirements are in a continuous state of compliance
  • Develops and provides oversight to identification and implementation of appropriate corrective actions and preventive actions
  • Responsible for training adherence for warehouse personnel
  • Maintain warehouse and item locations
  • Collaborate cross-functionally with all departments regarding inventory issues
  • Abide by and enforce facility rules and state laws and regulations
  • Lead and direct receiving staff
    • Coordinate and oversee warehouse logistics
    • Confirm timely receipt processing of incoming materials
    • Ensure appropriate receiving document retention
    • Assist with the hiring of receiving staff
  • Oversee the vault and associated controlled substance manufacturing tasks to include:
    • Receiving of controlled substances
    • Vault inventories to include adjustments
    • Controlled substance chain of custody
    • Destruction of materials
      • Expired
      • Recalled
      • Liquid laboratory
      • Retention
      • Rejected
    • Oversee transfer of raw materials between sites while utilizing the company material transport vehicle
    • Ensuring receiving activities are completed before the End of Business daily, including:
      • Entry into AX
      • Completion of “Receiving Inspection Form”
      • Labeled appropriately
      • Notification to Quality
    • Ensure the item is placed in the correct storage location
    • Maintain a well-organized and clean receiving areas and warehouses
    • Create a comprehensive list of items received daily for which you were unable to fully receive the item prior to End of Business and communicated to Procurement for resolution:
      • Certificate of Analysis
      • Duplicate Order
      • Incorrect unit of measure
      • Issue with the PO
    • Ensure all transfer orders are complete and ready for delivery the day prior to expected delivery date
    • Utilizing proper equipment for material handling to include:
      • Electric and manual pallet jack
      • Fork lift
    • Properly elevating and communicating issues effectively and driving to resolution
    • Maintaining warehouse security
    • Properly using scanners and computers to complete daily activities
    • Ensuring procedures are followed for handling of materials as required (controlled substances)
    • Develop, manage and update SOP’s and Work Instructions related to all activities in warehouse.

  • Ability to communicate with colleagues, customers, suppliers, in person, on the phone, and by written communications in a clear, straight-forward, and professional manner 
  • Ability to prioritize and communicate workloads  
  • Ability to maintain accurate records 
  • Demonstrate competency and in-depth knowledge of all processes, methods and procedures related to the warehouse
  • Ability to work independently/self-motivated 
  • Ability to bend/squat/kneel 
  • Ability to repetitively lift, carry, push and pull up to 50 lbs. 
  • Ability to operate and maintain certification for material handling equipment (such as forklift and pallet jack) 
  • Valid driver's license with satisfactory driving record within Company and State DOT standards 
  • Ability to operate company owned vehicles
  • Ability to successfully complete all requirements for handling of controlled substances
  • 3-5 years of experience within a warehouse setting leading inventory management and warehouse activities
  • Previous lead/supervisor experience in an inventory/warehouse position
  • Knowledge of inventory and supply chain management
  • Proficiency in computer systems
  • Excellent organization and time-management skills
  • Ability to meet deadlines and work well under pressure
