SUMMARY
The Administrative Assistant provides a wide range of administrative support-related tasks for Executive Assistant while working independently with little or no supervision.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Provides administrative support to management in a variety of capacities including contract management, telephone coverage, copier projects, mail handling, supplies control, processing of letters/correspondence, events/meeting planning, report generation, invoice/expense reporting, database management and assisting with completion of specially assigned projects.
Assists with licensing tasks as required for maintenance of all State and Federal licenses
Works with corporate legal to assist with North America licensing, document organization and legal transactions as approved by manager
Assists with any daily controlled substance reporting
Handles phone calls for the department manager from both internal and external sources
Reviews and summarizes miscellaneous reports and documents
Works with other administrative personnel to accomplish departmental goals
Prioritizes and manages multiple projects simultaneously and ability to handle multiple tasks with little or no supervision
Creates and maintains database and spreadsheet files.
Maintains and promotes patient confidentiality
Maintains open lines of communication with Administration, department management and other departmental personnel
Follows all regulations and requirements
Demonstrates thoroughness with all work-related activities
Strives to continually improve quality and productivity results displayed by Department Personnel on an ongoing basis
Assumes other duties and responsibilities as assigned by manager
Maintains scheduling flexibility to ensure availability to meet the needs of the department for all hours of operation and maintains regular and consistent attendance
Provides interim support to other departments as approved by supervisor.
Abides by all policies, procedures and protocols set forth in the departmental, AnazaoHealth Corporation personnel, and administrative policy manuals

Demonstrated ability to handle multiple tasks simultaneously; Exceptional organizational skills required
Ability to meet designated deadlines is also a critical qualification
Demonstrate the ability to communicate effectively and professionally with customers and external contacts to the organization

EDUCATION and/or EXPERIENCE
High school diploma or general education degree (GED) equivalent required and a minimum of 12 months to one year of administrative assistant experience or equivalent combination of education and experience
